Job Details

Import and Export compliance:

  • Capture and archive import / export information from freight forwarders and customs agents
    • Completeness check to ensure all that documentation is received for all orders entering and leaving the UK and Ireland
    • Relevant shipping documents related to goods such as bills of lading, invoice and customs entries held on file together so that they can be retrieved quickly if required.
    • Internal records used to confirm the customs status of goods
    • All key documentation (invoices, customs entries, bills of lading, and duty deferment summary statements ) related to import, storage, processing and re-export of products will be held on file for 7 years. Held in a logical manner that allows easy checking and simple access when required.
  • Match export info against invoices
    • Product identifiers (SKUs) to be used in conjunction with commodity codes to assist with monitoring
    • Use a combination of physical documents and IT records to monitor goods held within suspensive regimes.
    • Shipments can be tracked by purchase order number & the products on a PO number can be tracked by SKU
    • Access to specialist customs warehouse systems to track goods held under suspensive regimes
    • If errors or gaps are identified, the freight forwarder should be contacted to request amendment.
  • Ensure that the correct duties and rates have been applied for imports
    • A system of monitoring and checking to be used to ensure the accuracy of declarations
    • Use a periodic samples based checking procedure to check the accuracy of commercial invoices, import declarations and freight forwarder invoices
    • In particular key details such as commodity codes, values, customs procedure codes and tax calculations
    • Liaise with accounts payable, accounts receivable ,UK tax manager and global procurement to raise any discrepancies
    • Complete monthly sample checking activities to ensure accuracy of commercial invoices and other export documentation.
    • Support queries from HMRC and provide relevant documentation on a timely basis
  • Warehouses Processes
    • Ensure all warehouses are creating the required Export documentation and support any questions for all parties. Also, track and support and training requirements for the site teams
    • Be the escalation contact for all warehouse import and export processes (Inc. Heat Treated Pallets).
  • Products of Animal Origin (POAO)
    • Ensure all warehouses are creating the required POAO documentation and support any questions for all parties. Also, track and support and training requirements for the site teams
    • Be the UK escalation contact point for the POAO process.
  • Lanes Map
    • Ensure the lanes map for all import and export is completed accurately and communicated in a timely way to all sites. Be the UK escalation contact point for the process.

 

Global Control Standards (GCS) compliance:

 

 

  • Ensure the correct processes are followed to as per PepsiCo Sector Control Policy
  • Support the Risk Assessment, Process Narrative requirements through the year
  • Support the Inventory Stock Count processes for all assigned activities (Manufacturing, Warehousing etc.)
  • Set-up planning processes for End of Year Inventory Stock Counts
  • Provide cover Line Manager and tasks when not in the office

Pallet Management:

  • Ensure the correct processes are followed to as per PepsiCo Contracts with the Pallet Providers
  • Drive CI agenda for the pallet process and transportation agenda , link in with all key stakeholders internally and externally.
  • Ensure all financial processes are completed as required Monthly and Yearly.
  • Support the Inventory Stock Count processes for all assigned activities (Manufacturing, Warehousing etc.)
  • Provide cover Line Manager and tasks when not in the office as SME for the process


Inbound Delivery

  • Ensure the correct processes are followed to as per PepsiCo Contracts with the Pallet Providers
  • Drive CI agenda for the pallet process and transportation agenda , link in with all key stakeholders internally and externally.
  • Provide cover IBD Co-ordinator when not in the office as well as being the escalation contact for the business.
  • Strong collaboration, communication skills inspiring trust through various partners to achieve objective of role.
  • A process mindset with good organisation skills on short-term to long-term activities
  • Strong Excel skills as well as very good skills on all other main Microsoft Packages (Word/PowerPoint). Able to adapt or have very good working knowledge of the various PepsiCo/SAP systems
  • Strong Attention to detail and target driven
  • Ability to cut through issues, identify route cause, generate solutions to eliminate future occurrences

  • Strong, confident self-starter, capable of working on various priorities at the same time and organizing own actions and workload without the structure of day-to-day routine tasks.
  • Capable of flexing through busy periods to support on other tasks when required.
  • Able to work with some direction from Manager, but happy to drive day-to-day without supervision.
